Giving Account Coordinator

TOMS SHOES

TOMS is looking for a “Giving Account Coordinator” for its Los Angeles Headquarters. This position will be responsible for supporting the implementation of account management strategies for TOMS shoe giving operations. The position will be an integral member of the regional team dedicated to India, ensuring high-quality field operations, providing excellent customer service to giving partners, functioning as a back-up for Account Managers when they are traveling, and coordinating aspects of reporting from the field. This role will involve some domestic and international travel (10-15%).

Role reports to regional account manager.

Responsibilities

Giving Partner Client Management

  • Understand the details of all accounts under group management
  • Work with Giving Account Managers to develop and place all forecasts and orders; ensure all documentation is collected in a timely manner.
  • Review all orders for accuracy
  • Check websites of Giving Partners to be aware of activities as well as to see if any TOMS stories appear
  • Assist Account Manager in answering all client questions regarding details of the account
  • Process client invoices and check for accuracy
  • Serve as primary contact for partners for account maintenance questions and problem-solving
  • Ensure top-notch customer service to high-priority accounts
  • Help identify barriers and propose solutions

New partnerships

  • Provide support and lead specific steps of new partnership development process
  • Work with Account Manager to determine target lists of potential new accounts.
  • Conduct research on potential high-volume accounts
  • Work with Account Manager to develop a pitch for potential accounts.
  • Be a first point of contact for unsolicited new potential accounts that get passed to the AM team. Determine if the conversation should be elevated to the Account Manager.
  • Lead first review of proposals with questions and recommendations for the Account Manager.
  • Review incoming proposals for expansion of existing partners and
    • Check References
    • Obtain Freight quotes
    • Map giving distribution locations
    • Make recommendations to responsible Account Manager
  • Manage new partnership database

Administrative

  • Write and maintain account profiles of active Giving Partners under management; manage and input current client information
  • Work with Legal to prepare and file legal documents
  • Manage order entry process in close collaboration with TOMS logistics team
  • File all partner documents
  • Process creative requests from Account Managers
  • File and pulling data for reports
  • Prepare, track and ensure timely receipt of reporting from Giving Partners; pass relevant data to Giving Analyst and other departments

Giving Partner Reporting & Capacity Building

  • Help prepare and participate in bi-annual Giving Partner check-in calls with Account Manager.
  • Capture how Giving Partners are distributing shoes, synthesize and share with Account Managers
  • Coordinate reporting needs with select accounts. Maintain reporting data – base including impact data
  • Work with Giving Business and Development team to develop tools, processes and materials for partners to strengthen the effectiveness of shoe-giving
  • Develop educational materials for/with partners
  • Be primary link between partners and Account Management on communications needs and request. Develop close collaboration with TOMS communications team.
  • Support Account Manager financial reporting needs

Field visits & travel

  • Occasional travel with Account Managers to observe and capture practices, troubleshoot, learn, build partnerships
  • Represent TOMS and Account Management team at conferences
  • Plan international travel for Account Management Team

Requirements

  • Bachelor’s degree required
  • 2-5 years of relevant work experience (NGO, corporate foundations, international development organizations, management consulting, government)
  • Strong organizational skills, multi-tasker
  • Excel, creating and maintaining spreadsheets (both quantitative and qualitative information)
  • Database / CRM experience a plus
  • Fantastic attention to detail
  • Strong writer
  • Ability to bring critical analysis skills to the team
  • Strong willingness to learn
  • Proactive at identifying problems and opportunities; developing ideas to tackle both
  • Problem-solver focused on outcomes rather than activities
  • Ability to see the broader picture and to coordinate effectively
  • Excellent communication and people skills
  • Comfortable in fast-paced and high-growth environment
  • Field work experience in India a plus
  • Preferred Language- Hindi or other major Indian languages
