The Administrative Coordinator works with the Value for Women team providing support to the company on a variety of administrative, financial and organizational tasks. This exciting role is part of the global, multi-disciplinary team uniquely positioned to support clients around the world to create and implement gender-smart strategies and programs that are high-impact, innovative, pragmatic, and custom fit to their needs and goals.

This role supports the work of the organization in the following areas:

Bookkeeping, accounts payable & receivable preparation and processing
– Manages all client invoicing (creating sales invoices, requesting approvals from financial controller)
– Handle payments on behalf of Value for Women, including uploading consultant and supplier details and payments into organisational accounts,

Credit Control
– Monitor outstanding client invoices on a weekly basis in line with the company’s credit policy, and follow with clients
– Manage and report on Credit Control tracking and actions taken

Oversees information -management in the company
– Manage drive creation, organization, maintenance, and access in company Google Drives across the company
– Creating databases
– Filing and records management
– Supports IT Administration (user account management) and tech support (liaising with tech support teams to support the VFW team)
– Manages (updates, tracks and standardizes) collection of key company information (team biographies, for example)
– Leads data management on the time tracking for projects and consultants

Manages templates for time tracking
– Ensures data consolidation across time tracking templates
– Ensures available data is on hand for consultant and management team decision-making
– Due diligence, verification and communication of consultant time use on a regular basis

Manages company correspondence & virtual office management
– Virtual office management and delivery of post across the organisation (virtual office post processing
– Management of the general enquiry email address (processing, organizing and re-directing as appropriate
– Manages and oversees the petty cash system
– Scheduling and planning support for meetings
– Scheduling virtual and in -person meetings, setting up calls and sending meeting invitations, taking minutes,
– Other administrative projects that facilitate team collaboration

Maintains Preferred Suppliers lists
– Coordinates support requests for design and other support needs
– Provides specialized administrative support to CEO and Senior Management Team as needed
