THE OPPORTUNITY

As the Program Operations Assistant, you will be the lead staff person managing logistics and materials for RTT’s in-person and virtual programs, including managing RTT’s programmatic calendars and preparing packets and surveys. The Program Operations Assistant will collaborate closely with the program management team to provide end-to-end support for RTT programs, working to ensure a seamless and positive experience for all program participants.

This position involves an immersion in RTT’s toolkit – a great fit for a professional interested in bridge-building work along with the behind-the-scenes program administration that ensures programmatic excellence. The role is a great opportunity for someone with tremendous attention to detail to contribute to a growing nonprofit organization with nation-wide impact.

RESPONSIBILITIES

Support All Program Logistics (50%)
You will support RTT’s program team by preparing and implementing logistics for all programs, including producing and organizing program materials (packets, surveys, slides, etc.), coordinating with facilitators and coaches, recruiting participants and volunteers, communicating with participants, and providing tech support on Zoom. For in-person programs, you will also manage space rentals, catering, and other logistics.

Assist Training Program (25%)
You will support ongoing training opportunities for RTT facilitators, including scheduling practice sessions, recruiting volunteers, and participating in training sessions.

Update and Maintain Calendars (15%)
You will function as the primary staff member responsible for maintaining RTT’s internal program calendars and project management platforms (e.g., Airtable, Google Calendar, Zoom, ZCal, etc.).

Manage and Collect Data (10%)
You will maintain program records and participant lists and enter constituent data into RTT’s database.

Ideal candidates for this position will also have:
– 2+ years of demonstrated success with program logistics and operations.
– Experience with written and verbal communication in a professional context with a wide range of partners and stakeholders.
-Fluency with Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and G Suite (Docs, Sheets, etc.) with proficiency creating and formatting complex documents and spreadsheets.
– Ability to utilize and adapt to various software tools and platforms to improve efficiency.
– Experience with SurveyMonkey, Airtable, and CRM software like Little Green Light is a plus.
– Experience running programs on Zoom and using its advanced features. Comfort troubleshooting live tech issues.
– Demonstrated proficiency in data collection and data entry.
– Experience in the field of conflict transformation (particularly vis-à-vis U.S. political polarization and/or the Israeli-Palestinian conflict).
– Experience working with faith communities.

COMPENSATION AND BENEFITS

The salary range for the Program Operations Assistant is $45,000-$57,000, commensurate with experience. RTT also offers a competitive benefits package.

This is a full-time position with benefits. Typical office hours are 9 am-5 pm, with some RTT programs and obligations taking place in the evenings and on weekends. Depending on program and organizational needs, we’re open to some creative scheduling.
